Accounts Payable Clerk Job Description

Position Summary

The Accounts Payable Clerk is responsible for managing outgoing payments, maintaining accurate financial records, and ensuring all vendor invoices are processed efficiently and in compliance with company policies. This role plays a key part in supporting the organization's financial operations by verifying, reconciling, and recording financial transactions.


Key Responsibilities

  • Review, verify, and process vendor invoices for accuracy, proper documentation, and approvals
  • Enter invoices into the accounting system and ensure timely posting
  • Prepare and process payments (checks, ACH, wire transfers) in accordance with payment terms
  • Reconcile vendor statements and resolve discrepancies, billing issues, or payment delays
  • Maintain organized and up-to-date accounts payable records and files
  • Respond to vendor inquiries and maintain positive vendor relationships
  • Assist with month-end closing by providing reports and supporting documentation
  • Ensure compliance with company policies and accounting regulations
  • Monitor accounts to ensure payments are up to date
  • Assist with audits by providing necessary documentation and reports

Required Qualifications

  • High school diploma or equivalent (Associate's degree in Accounting or related field preferred)
  • 1-3 years of experience in accounts payable or a similar accounting role
  • Basic understanding of accounting principles and financial processes
  • Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Excel
  • Strong attention to detail and accuracy
  • Good organizational and time management skills

Preferred Skills

  • Experience with ERP systems
  • Knowledge of invoice processing and financial controls
  • Ability to handle high-volume transactions
  • Strong communication and problem-solving skills
  • Ability to work independently and as part of a team

Working Conditions
